Thank You Letters

As a participant in the Suwannee River Fair, you are encouraged and required to write thank-you letters to show/contest sponsors, as well as the buyer/buyers of your market animal.

  1. Sponsors Letter: Many of our shows and contest are supported by community individuals and their businesses.  Each contest or show page will tell you who you need to write your thank you letters to.
  2. Buyer Letter(s): If you are showing a market animal will are also required to write thank-you letters to each buyer.
  3. Buyer’s Invitation Letter: It is your responsibility to help get new and returning buyers to come to the livestock sales.  If you want to be successful and get the best price for your animal, you must market yourself and your animal.  A buyer’s letter is an excellent way to market your project steer, swine, or wether.

Think of a sponsor thank-you letter as a self-marketing tool and a critical component of your project. Your relationship with the sponsor does not end once the fair has banked their cash and purchased trophies.  It is the start of an ongoing exchange. An important part will be keeping your sponsor informed of how well their money is being spent and how much you appreciate them.  The start and finish of this is, of course, saying thank you.

As a participant in the Suwannee River Youth Livestock Show and Sale, you are required to write thank-you letters to show sponsors, contest sponsors, and market animal buyers.

Required Show and Contest Sponsor Thank You Letters

Your animal will not be checked into the fair until a show/contest sponsor thank you letter is submitted. No Torn Pages, Frayed Edges or Envelopes will be excepted. Letters MUST BE HANDWRITTEN and AT THE MINIMUM MUST include 3 paragraphs with at least 9 sentences, using the following format:

► Paragraph 1: Introduce yourself (name, age, school, club/chapter, what other shows you participate in, etc.);

► Paragraph 2: tell what the project is (steer, swine, horse, rabbit, etc.) and  describe what you learned from the project (do not just say “I learned responsibility” or “I learned time management,” but explain how you learned it  and why it is important);

► Paragraph 3: Express your appreciation and tell how much you appreciate them and their sponsorship.

Probably one of the most important tasks you will have is sending thank you letters. Remember — this person or business did NOT have to do this for you! If they purchased your market animal let them know you are grateful. Put yourself in their place: If you were the one who donated some hard-earned money, you would want someone to thank you!

Required Buyer Thank You Letters

MARKET ANIMAL SALE CHECK RULES AND PROCEDURES

  1. All market animal participants are REQUIRED to write an appropriate thank you letter to all buyers.
  2. Letters MUST BE HANDWRITTEN and placed in an unsealed, stamped, addressed envelope.
  3. No Torn Pages, and or Frayed Edges will be excepted.
  4. Letters AT THE MINIMUM MUST include 3 paragraphs with at least 9 sentences, using the following format:
  • Paragraph 1: Introduce yourself (name, age, school, club/chapter, what other shows you participate in, etc.);
  • Paragraph 2: tell what the project is (steer, swine, horse, rabbit, etc.) and  describe what you learned from the project (do not just say “I learned responsibility” or “I learned time management,” but explain how you learned it  and why it is important);
  • Paragraph 3: Express your appreciation and tell how you intend to use these funds or tell how much you appreciate them and their sponsorship.
  1. NO FORM LETTERS. Cards are acceptable as long as all other criteria are met.
  2. Prior to the last day of school, all thank you letters shall be given to the 4-H Agent or FFA Advisor for mailing. 4-H Agents and FFA Advisors will notify the Fair Secretary, at least weekly, as to receipt of Thank You Letters. After the last day of school all thank you letters will be submitted to the Fair Secretary.
  3. Sale check will be mailed in participants name to the legal guardian address upon receipt of an appropriate thank you letter(s) from exhibitor to their buyer(s).
  4. The mailing address will be obtained from the official mailing address of the legal parent/guardian on the Market Animal Entry Form.
  5. After 90 days from Sale Date, any checks that have not been mailed due to lack of proper thank you letters shall be subject to a 15% penalty fee.

If you want to be successful and get the best price for your animal, you must market yourself and your animal.  You need to find a buyer before the fair who is interested in your animal and you.  You simply cannot show up at the fair auction and expect buyers to want your animal.  You have spent a lot of time and energy raising and caring for your animal, now you need to spend a lot of time finding the right people to buy your animal.  It is your responsibility to help get new and returning buyers to come to livestock sales.  The buyer’s letter is an excellent way to market your project steer or swine animal.

Buyer Invitation Letters

It is the exhibitor’s responsibility to help get new and returning buyers to come to livestock sales.

Your Letters AT THE MINIMUM MUST include 3 paragraphs with at least 9 sentences, using the following format:

► Paragraph 1: Introduce yourself (name, age, school, club/chapter, what other shows you participate in, etc.);

► Paragraph 2: tell what the project is (steer, swine, horse, rabbit, etc.) and  describe what you learned from the project (do not just say “I learned responsibility” or “I learned time management,” but explain how you learned it  and why it is important);

► Paragraph 3: Invite them to the fair and using salesmanship to ask them to buy your market animal. Express your appreciation and tell how you intend to use your sale check funds or tell how much you appreciate them.
